Meeting Room Rentals - Frequently asked questions (FAQ)


Why hasn’t my room been approved yet?
Please allow between 1-3 business days for processing of room booking requests.

Why can’t I book a room for the date I want?
Room booking requests may be submitted in advance of up to 3-months.

Where do I find the waiver form?
We no longer require a waiver form to apply for a waiver of fees. When submitting your non-profit booking, select ‘Yes’ to the question, “I will be applying for a fee waiver for this booking”. Our team will automatically review your request and let you know if you qualify within 3 business days.

Do you offer room setup?
Room setup may be available by request for an additional fee. When submitting your booking, select ‘Yes’ to the question, “I would like to arrange room setup at an additional fee”. You’ll be contacted by our team to make arrangements.

Do you offer tech help?
We are unable to provide tech setup and tech troubleshooting at the time of rental. Tech setup lessons may be available by request at least 14-days in advance of the rental. When submitting your booking, select ‘Yes’ to the question, “I would like to arrange a tech setup appointment”. You’ll be contacted by our team to make arrangement.

What are your room rates?
Please refer to our Meeting Rooms Fee Schedule.

What equipment is included in my room booking?
When selecting your room, an overview of standard equipment included is displayed. Select equipment is available on a first come, first served basis.

 How can I change my booking?

Can I serve food or drink while using the meeting rooms?
Food and drink may be served while using the meeting rooms. Please limit to cold foods (sandwiches, fruit/vegetable trays, etc.) as the smell of hot foods can disturb other library customers.

Can I serve alcohol while using the meeting rooms?
Alcohol may be served while using meeting rooms with prior approval from the Library Director and proof of certification in Serving It Right. Please contact roombooking@coqlibrary.ca at least 14-days in advance of the rental. 

Can I make a series of bookings for classes or workshops?
If you are interested in making a series of bookings, please contact roombooking@coqlibrary.ca.

 Can I book a room outside of Library hours?
If your desired rental time extends outside of Library hours, please contact roombooking@coqlibrary.ca. Additional fees may apply.

 Can I have more than one free booking per month?
No, qualifying non-profit groups are eligible for one (1) free booking per month. 

What is the cancellation policy?
Please cancel your booking up to 3-days in advance of the rental. Room cancellations less than 3-days prior to the rental are non-refundable.
