FAQs About Meeting Rooms

• Why hasn’t my room been approved yet?

  Please allow between 1-3 days for processing.

• Why can’t I book a room for the date I want?

  Your room booking must fall within 3 months from today's date.

• Do you offer room setup and take down?

  Yes, room setup and take down service is available by request for a $50.00 fee. Please fill out our setup and take down service request form.

• Do you offer tech help?

  Yes, a free tech setup lesson can be requested by filling out our tech setup lesson request form.
  
  Note: We are unable to provide live tech support and troubleshooting at the time of your rental.

• What are your room rates?

• Are there discounted room rates?

  Yes, Tri-Cities Chamber of Commerce members receive 25% off meeting room rentals. Please contact roombooking@coqlibrary.ca for more details.

• What equipment is included in my room booking?

  When selecting your room, you will see an overview of standard equipment included.

• How can I change or cancel my booking?

  Contact roombooking@coqlibrary.ca.

• What is the cancellation policy?

  Cancellation requests must be submitted more than 3 days before rental date.

• Can I serve food or drink while using the meeting rooms?

  Yes, please limit to cold foods (sandwiches, fruit/vegetable trays, etc.) as the smell of hot foods can disturb other customers.

• Can I serve alcohol while using the meeting rooms?

  Approval from the Library Director and proof of certification in Serving It Right are required. Please contact roombooking@coqlibrary.ca at least 14 days in advance of the event.

• Do I need a parking pass for my vehicle, while using a meeting room?

  Please see our Locations page for detailed parking information.

• Can I make a series of bookings for classes or workshops?

  Please email the details of your series to roombooking@coqlibrary.ca.

• Can my rental time fall outside of Library hours?

  Please contact roombooking@coqlibrary.ca. Additional fees may apply.

• Can I have more than one free booking per month?

  No, qualifying non-profit groups are eligible for 1 free booking per month.
